Every merchant account runs through underwriting with the processing bank. It looks slow and paperwork-heavy from the outside, but when the file is complete, most accounts approve in one to two business days. Incomplete files are what drag on for weeks. Gather the items below before your application and you'll be taking cards this week, not this month.
Your Elite Pay rep submits the file, underwriting reviews it (usually 1–2 business days), and the moment you're approved we schedule your equipment — free placement, installed in person, with training for your staff. Deposits typically start hitting your account the next business day after you begin processing.
What chargebacks are, how to prevent them, and exactly what to do when one lands.
A cardholder disputes a charge with their bank, and the money comes out of your account while the card network investigates. You get a window — usually 20 to 45 days depending on the network — to submit evidence and fight it. Ignore the notice and you lose by default, plus a chargeback fee.
Most chargebacks are preventable. Use a clear billing descriptor so customers recognize the charge on their statement. Get signatures or chip-and-PIN on card-present sales. Post your refund policy where customers can see it — on the receipt, at the register, on your website. Respond to refund requests fast: a $40 refund beats a $40 chargeback plus a $25 fee and a mark on your account, every time. And keep receipts, signed tickets, and delivery confirmations for at least 18 months.
1) Note the deadline on the notice — it is unforgiving. 2) Pull your evidence: the signed receipt or EMV record, invoices, delivery or pickup confirmation, any texts or emails with the customer. 3) Write a short cover note: what was sold, when, to whom, and why the charge is valid. 4) Submit everything before the deadline through your processing portal. 5) If the customer is actually right — refund it and move on. Fighting a losing dispute costs more than the sale.
Card networks flag merchants whose chargeback ratio passes roughly 0.9% of transactions. Getting flagged means fines and monitoring programs, and in bad cases a terminated account. If you're seeing more than a couple of disputes a month, don't wait — that's a process problem we can usually fix.
The card industry's security rules in plain English — and how to never pay a non-compliance fee.
PCI DSS is the card industry's security standard — the rules every business that touches card data agrees to follow. It isn't a law and it isn't optional; it comes with your merchant agreement. For most local businesses, staying compliant means using secure, up-to-date equipment and answering a yearly questionnaire honestly.
If you run a modern terminal or POS — like the Clover and Dejavoo hardware we place — card data is encrypted the moment the card taps or dips, and you never store a card number anywhere. That puts most of our merchants in the simplest compliance categories, where the whole exercise is a short self-assessment questionnaire (an SAQ) once a year.
Once a year you'll complete the SAQ through the processor's compliance portal — 15 to 30 minutes for a typical shop. Some setups also need a quarterly automated scan, which the portal runs for you. Do that, and you're compliant. Skip it, and most processors add a monthly non-compliance fee ($20–$40, forever) until it's done. It's the easiest fee in the industry to avoid.
Never write card numbers on paper or store them in a spreadsheet. Never take card numbers by email or text. Change default passwords on anything connected to your POS. Keep your terminal software updated — ours update automatically. If it feels sketchy, it's non-compliant: when in doubt, ask your rep.
